- Exterior: Walk perimeter, check grading, roof from ground, downspouts. I take close-up photos of problem areas and a wide shot for reference. Example: "Downspout outlets buried; pooling at SE corner. PhotoEXT1-3."
- Termite/WDO checks: Probe suspicious wood, check mud tubes, crawlspace, and accessible subfloor. I log findings in the termite module under the same inspection record so the client gets one cohesive report. Example: "Active mud tubes along SE foundation, accessible treatment recommended."
- Interior: Test systems — HVAC, water heater, electrical panel, GFCIs. I note safety issues first (e.g., exposed wiring). Example: "Main panel double-tapped breakers; recommend electrician."
- Attic & crawlspace: Photo the insulation, structure, and any evidence of pests or water intrusion. I record moisture readings and thermal images if used.
- Wrap-up with client: Quick verbal summary at the end. I also send a same-day progress text with estimated delivery time for the report.
On-device notes and photos
I write short, factual notes on the mobile app as I go. I use a consistent format: condition, risk, action. Example: "Gutter detached at corner — tripping hazard, allows water to pool near foundation. Repair recommended to prevent future wood decay." Short notes save typing time and avoid unclear statements in the final report.
Report creation and delivery
Back in the truck or at the house with Wi-Fi, I finalize the report. I use AI-assisted PDF generation to assemble photos, captions, and standardized recommendations. The AI drafts the narrative, and I edit for accuracy and tone. That process cuts my report-writing time by roughly half compared to writing everything from scratch.
Key items I check before publishing:
- All photographs are captioned and referenced in the narrative
- Termite/WDO findings are in the same report and flagged for treatment options
- E-signature and work authorization forms are attached if the client wants to initiate work or a service plan
I deliver the PDF by email and through a secure link. If the agent or client prefers a different recipient, I send it that way and log the delivery in the CRM.
Billing, payments and follow-up
I invoice the job through the same platform. If the client pays on-site, I process the card and mark the invoice paid. The software logs payment, sends a receipt, and records the transaction for bookkeeping. For ongoing termite service plans I enroll clients in recurring billing and attach the signed work authorization — all from my tablet.
Post-inspection admin and CRM
End-of-day I review all open jobs: unpaid invoices, unsigned forms, and any follow-up repairs or estimates requested. I set reminders in the CRM for callbacks and follow-ups with the agent. Having client, report, invoice, and follow-up items in one system eliminates the multiple spreadsheets I used to keep.

Tips and common hiccups
- If cell signal is weak, rely on your offline-first app and sync later; never try to type a long report in a phone call during service interruptions.
- Take more photos than you think you need. The extra shots save explanations later.
- Use templates for common recommendations so AI has good starting text and you only tweak specifics.
- Auto mileage tracking and integrated invoicing cut end-of-day admin by hours per week — track it and multiply by your hourly rate.
